How to schedule a report to run automatically

1. Log in to Business Objects.

2. Click the appropriate folder containing the report to schedule.

3. Highlight the report to schedule by clicking it one time.

4. Click the Actions dropdown menu and select Schedule Report.

5. The report scheduling window will be displayed.

6. If needed, enter a name for the scheduling instance. It will default with the report name.

7. Click the Recurrence link on the left.

8. In the Run Object dropdown, select how often the report should be created. In this example, the Weekly option is used.

9. Select which day to run the report.

10. Select the time of day and what day to start.

11. Select a time of day and what day to end. This will default to a date several years in the future. In some cases though, the report might only be needed for a more limited period of time.

12. Click the Formats and Destinations link on the left.

13. In the Output Format window, click Microsoft Excel. Other options may be selected if preferred, but Excel is the most commonly used format.

14. In the Output Format Details window, click Email Recipients.

15. Click the link below for Destination Options and Settings.

16. Uncheck the option to Use the Job Server's defaults.

17. Enter the desired email addresses in the from, to, and CC fields.

18. Enter a subject for the report. This will appear in the subject line of the email.

19. Click the option to Add Attachment.

20. Click the option for Specific Name.

21. Specify a name for the attachment.

22. Click the option to Add file extension. If this is not checked, the attachment will not have an extension and people receiving the report will not know how to open it.

23. Enter a message. This will appear in the message body of the email.

NOTE: Variables are commonly used to define the subject, attachment name, and message body.

24. There are dropdown windows next to the Subject, Specific Name, and Message windows. You can use these to select values such as Title (name of report), Date and Time (current date/time), and others. Date and Time is most commonly used and allows for recipients to easily distinguish between reports.

25. Click the Schedule button to save the changes. The report will now be automatically created and sent based on the information that was specified.
