How to move equipment to a different site

Moving equipment is a multi-step process. It includes tasks to be completed when the equipment is first uninstalled/deactivated at the original site, and further steps to be completed after the equipment has been installed in the new site.

This scenario involves auditorium equipment at one site that needs to be moved to a different site. It is assumed that there will be a period of time between de-installing at the first site and re-installing at the second. Because of this, the equipment will be moved to an Inactive status in the interim.

STEP 1: Deactivating and Moving Equipment (Completed on Day Equipment is Uninstalled)

1. Log into the Partner Portal.

2. Go to Operations -> Asset Management. This will open AMS and provide a search function so that the sites may be easily located.

3. Sites can be searched for by specifying and Exhibitor and State and Theatre.

4. Or, sites can be searched for by specifying a Site Code or Name.

5. Once the appropriate search criteria has been entered, click the Find Sites button to bring up the site details.

6. The Theatre details will be diplayed on the right. On the left will be links to the individual Auditorium. Click on the Auditorium containing the equipment to move.

7. The Auditorium details will be displayed.

8. Click on the Equipment tab on the top right.

9. A list of equipment for that auditorium will be displayed.

10. Highlight the first piece of equipment that needs to be moved.

11. Next, click the Edit Equipment button.

12. In the Status dropdown box, select Inactive.

13. Once completed, click the Save and Close button to save the changes.

14. Repeat the process for all pieces of equipment until they are inactive.

15. Once all equipment has been made inactive, it can be moved to the new site. Click in the box to the left of the equipment line item to select a single piece of equipment to move.

16. Or, click the box next to the Location column to select everything.

17. When the appropriate equipment has been selected, click the Move Equipment button.

18. Select the new site and auditorium using the four dropdown boxes on the right.

19. Click the Save button to move the equipment to that site.

20. After moving the equipment, click the Notes tab.

21. Enter a note in the Notes window. Notes should include the name of the user making the change, the date and time of the change, and the site/auditorium that the equipment is being moved to.

22. Click Update Auditorium Note to save the changes.

STEP 2: Prepping the New Site for Certification (Completed on Day of Installation in New Site)

23. On the day the equipment is to be physically installed at the new site/auditorium, it will need to be prepped for certification. To start, repeat Steps 1-9 to bring up the equipment details in AMS for the new auditorium.

24. Highlight the first piece of equipment that needs to be prepped.

25. Next, click the Edit Equipment button.

26. In the Status dropdown box, select Staged.

27. Click the Save and Close button to save the changes.

28. Repeat the process for all pieces of equipment until they are in a Staged status.

29. After all equipment has been prepped, click the Notes tab.

30. Enter a note in the Notes window. Notes should include the name of the user making the change, the date and time of the change, and the site/auditorium that the equipment was moved from.

31. Click the Update Auditorium Note button to save the changes.

STEP 3: Installation and Acceptance (Completed on Day of Installation in New Site)

32. Installers will need to be instructed to use Certification Forms and complete both the Installation and Final Acceptance processes. This will certify the installation was complete and meets the standards of the service agreement. It will also set the auditorium Acceptance Date in AMS.

33. After Final Acceptance, the auditorium move is complete.
